Etiquette, Sanitation & Attire

Creating Calm Together, A Shared Commitment to Serenity: At Samya Spa, we strive to create a safe, mindful, and restorative space for every guest. Please review the following guidelines before your visit.

Spa Etiquette

  • Please speak softly in the Spa reception, lounge and therapy rooms to maintain a peaceful environment.
  • Cellular phones, alcohol, and food are not permitted in the Spa.
  • Children under 12 and pets are not allowed.
  • Minors require a signed parental consent form.

Spa Attire

  • Clients may change in the therapy room or, if the service includes a shower, in the shower room.
  • Therapists ensure professional draping at all times.
  • Please avoid wearing jewelry, perfume, and makeup to the Spa.

Health, Safety & Sanitation

  • Clients with cold/flu symptoms or anything potentially contagious are requested to reschedule appointments until symptom-free.
  • Please cancel your appointment if you have a fever (above 37.5°C), chills, cough, or other symptoms such as sore throat, muscle aches, fatigue, or loss of appetite.
  • Frequently touched surfaces are disinfected regularly.
  • All sheets, towels, and implements are thoroughly cleaned and sanitized.
  • To support the therapeutic nature of our services, we ask that guests arrive clear-minded and not under the influence of alcohol or drugs. If a guest’s behaviour suggests impairment or creates an unsafe environment, the service may be cancelled in line with our cancellation policy and full charges will apply.

Booking & Appointment Policies

Therapy Availability

Appointments should ideally be scheduled 3–7 days in advance. Walk-ins may be accommodated based on availability; please inquire for last-minute openings. A valid credit card is required for booking. By booking an appointment with us you agree to the policies on this page and provide your credit card to be charged accordingly.

Third-Party Bookings & Payment Authorization

Appointments must be secured using a credit card belonging to the registered client receiving the service. If a booking is being made by someone else or payment will be provided by a third party, full prepayment is required at the time of booking. We are unable to hold appointments using a credit card that does not belong to the registered client unless the appointment has been prepaid.

Arrival & Appointment Times

Please arrive 15 minutes early to relax and ensure your therapy starts on time. Late arrivals will result in shortened service time; arrivals more than 20 minutes late will be charged the full cost of the consequently cancelled service. Appointment times include undressing/dressing and shower time if applicable.

Cancellations

Single therapies require a minimum of 24-hour notice for changes or cancellations to avoid a 50% fee. Spa packages of 2 or more services require 48-hour notice for changes or cancellations to avoid a 50% fee. No-shows are charged 100% of the service fee.

Group Booking Policy

To ensure availability and appropriate staffing, the following policy applies to  bookings for four (4) or more people on one day:

Prepayment Requirement
All group bookings of 4+ people must be paid in full at the time of booking, including corporate and third-party payments.
Cancellation & Changes (7-Day Policy)
Cancellations or changes made 7 days or more before the appointment: Full refund.

Cancellations or changes made within 7 days: Payments are non-refundable.

Gratuities
An automatic 18% gratuity is applied to all group bookings of four or more people.

Spa Therapists & Health Considerations

Therapists

All Spa Therapists are highly trained and experienced. Ayurveda Consultations and specialized Ayurvedic services are performed by Registered Advanced Ayurvedic Practitioners (the only Ayurvedic Practitioners on Vancouver Island registered with the Ayurveda Association of BC).

We do not offer RMT (Registered Massage Therapy) services. Treatments at Samya Spa are not eligible for reimbursement through extended health care benefits. If you require RMT massage, we encourage you to explore the many local RMT clinics in Victoria.

Health Assessment

Guests will be asked to complete a comprehensive health profile online or upon arrival. Some of our therapies are not recommended for guests with certain health conditions such as some allergies, high blood pressure and thyroid conditions. If you are pregnant, please notify us in order to recommend suitable services. Please disclose any allergies, health conditions, or relevant medical history before your treatment.

When booking, please let us know if you have any special preferences, mobility needs, or accessibility requirements.

Accessibility

We welcome all guests and are committed to making your experience safe, relaxing, and enjoyable.

If you need personal care, such as help with mobility or dressing, please attend with a caregiver or support person. Service animals and Spa staff cannot provide this type of assistance.

Certified service dogs are allowed by law. Proof of certification is required. Pets and emotional support animals are not permitted. Service dogs must remain quiet, on the floor, and under control at all times. If a service animal causes disruption, the appointment may be shortened or ended at the client’s expense.

 

Guest Conduct

To ensure a positive experience for everyone, we ask all guests to:

Treat staff, practitioners, and other guests with respect

Refrain from aggressive or abusive behavior

Avoid harassment or inappropriate conduct

Arrive sober and follow spa rules and staff guidance

Services may be paused or ended at the client’s expense if these guidelines are not followed. Our goal is to maintain a safe, calm, and welcoming space for all.

Payments & Gratuities

Payments

Payments can be made before or after the service via cash, debit, or credit card.

Gratuities

Gratuities are not included in the service prices. Gratuities of 15%-25% are commonly given in recognition of service excellence and may be offered after the service.

Gift Cards

Purchase & Use
Samya Spa gift cards are available for purchase in any dollar amount or for specific services and packages. Dollar amount gift cards may be purchased online or in the spa and used toward any service or retail product at Samya Spa. They cannot be redeemed for cash. Physical Gift Cards for a specific service or package must be purchased at the spa and can only be redeemed for the service or package listed. No substitutions, changes, exchanges or cash value will be applied. The gift card number and a copy of the paper or email gift card must be presented upon redemption. With the exception of automated emails of gift cards purchased through our online software, to avoid duplication or false redemption, gift cards can not be emailed upon purchase or otherwise. 

Lost or Stolen Cards
Samya Spa is not responsible for lost, stolen, or altered cards, and replacement cards and/or refunds will not be issued.

Expiry
Samya Spa gift cards purchased for a dollar amount do not expire. If the gift card is for a service or package listed on the gift card, it expires and is no longer valid after the expiry date.

Other Conditions

All gift card purchases are final sale and are non-refundable once issued. Orders placed in error, including purchases intended for another business, are not eligible for cancellation or refund once processed.

Gift cards donated for charitable or promotional purposes are valid only for the specific service listed and must be redeemed prior to the stated expiry date. Expired promotional gift cards have no cash value and will not be extended or replaced.
